Privacy Policy

PoolHouse ("PoolHouse", "we", "us") provides pool-service management software at getpoolhouse.com and through the PoolHouse mobile application (together, the "Service"). This policy explains what information we collect, how we use it, and the choices you have. By using the Service you agree to this policy.
1. Information we collect
- Account information — name, email address, phone number, role, and login credentials for company staff accounts.
- Customer records — information a company using PoolHouse enters about its own customers: names, service addresses, contact details, gate/entry notes, pool and equipment details, service history, photos taken at the service location, water-chemistry readings, and billing records.
- Location data — technician location and job GPS stamps captured during service visits, used for routing, mileage, and service verification.
- Usage and device data — app version, device type, and diagnostic logs used to keep the Service reliable.
- Connected accounting data — if a company connects QuickBooks Online (or another finance provider), we access customer, invoice, and payment records in that account solely as described in Section 3.
2. How we use information
- To provide, operate, secure, and improve the Service.
- To schedule and document pool-service work (routes, jobs, reports, photos, readings).
- To generate invoices and, where connected, create and synchronize invoice records with the company's accounting provider.
- To send operational notifications (for example, service-visit reports a company chooses to email its customers, or push notifications to staff).
- To diagnose problems and provide support.
We do not sell personal information, and we do not use customer data for advertising.
3. QuickBooks and connected services
When a company connects QuickBooks Online, PoolHouse uses Intuit's OAuth authorization — we never see or store QuickBooks passwords. Access tokens are stored encrypted. We use the connection only to: (a) match or create customer records, (b) create draft invoices the company has prepared in PoolHouse, and (c) read invoice and payment status so records stay in sync. QuickBooks data is never sold, shared with third parties, or used for any purpose other than providing the Service. Disconnecting QuickBooks in Settings revokes PoolHouse's access; tokens are deactivated immediately.
4. Sharing
We share information only with:
- Service providers that host and operate parts of the Service (hosting, email delivery, SMS delivery, payment/accounting integrations such as Intuit QuickBooks), bound to use it only on our behalf.
- The company you belong to — data entered in a company workspace is visible to that company's authorized staff according to their roles.
- Legal requirements — if required by law or to protect the rights, safety, or property of PoolHouse or others.
5. Text messages (SMS)
Pool service companies using PoolHouse may send their customers technician arrival text notifications — a text when the pool technician is on the way to the property. This is the only message type sent. Consent is collected verbally at service signup using a standard script (or by texting START) and is recorded on the customer’s account; it is never a condition of service and is never obtained through these terms alone. We do not send marketing, promotional, or invoice text messages through this program. See our Text Message Program page for the full opt-in workflow.
Message frequency varies. Message & data rates may apply. Reply STOP to any message to opt out, or HELP for help. You can also opt out by contacting your pool service company directly.
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes.
6. Security
Data is transmitted over TLS and stored on access-controlled servers. Accounting tokens are encrypted at rest. Access to customer data is restricted by role-based permissions. Databases are backed up regularly with limited retention. No method of transmission or storage is 100% secure, but we work to protect your information with industry-standard measures.
7. Retention and deletion
Service records (jobs, photos, chemistry, invoices) are retained while the company's account is active, because they form the company's business records. Diagnostic logs are retained for approximately 30 days. A company may request deletion of its workspace and data by contacting us; we will delete or anonymize data unless we must retain it for legal or accounting obligations.
8. Your choices
- Companies control their customers' records and can edit or delete them in the app.
- End customers can manage email preferences (including opting out of report and marketing emails) via links in those emails or through their service company.
- You may request a copy or deletion of your personal information by emailing us.
9. Children
The Service is for business use and is not directed to children under 13.
10. Changes
We may update this policy; the effective date above will change and material updates will be communicated in the app. Continued use after changes means you accept the updated policy.
